Ocrafolk Festival Nonprofit Application Information
The 2012 Ocrafolk Festival is inviting all Ocracoke nonprofits to participate in this year's event. It is a great opportunity for local organizations to spread the word about their activities and even do a little bit of fundraising! While the festival runs from June 1 to 3, non-profit booths will be at the festival only on Saturday, June 2, from 9 a.m. to 6 p.m. Nonprofits are responsible for bringing their own table, chairs, tent, unless they choose to rent tables and chairs from the festival. No electricity is provided.

Application deadline April 1. We have limited space for booths. The deadline for your application is April 1. We encourage you to respond to this notice as soon as possible. Requests submitted AFTER April 1 might not be granted if all spaces are filled. Non-profits will be given confirmation by April 10.

1. Time: On the Saturday of the festival, please check in at the Info Tent. Plan to have your display set up and your vehicle moved to the designated parking areas by 9 AM. Golf carts are considered vehicles and also need to be moved from festival grounds. Space identification numbers will be in place by 7:15 AM. We will not have a complete list of booth locations until Saturday morning.

2. Food Sales: The festival attempts to coordinate all food sales at the event in order to avoid duplication. If you intend to sell food or drinks, please let us know the details on the application form.

3. Space Size & Fee: A single space is approximately 10’x10’. You must furnish your own tables and chairs unless you choose to rent them from the festival. Rental fee is $15 for a banquet table and 2 chairs.

4. Cleanup: Help us keep the residents of Ocracoke Village happy with our presence by cleaning your area before you leave. Thanks!

5. Inclement Weather: It is highly recommended that you observe the weather forecast and come prepared for rain if necessary. The rain location for the festival is at the Ocracoke School, but the optimal location for the Ocrafolk Festival is outdoors. Although serious rain will warrant moving inside, occasional showers may not.

Ocrafolk Festival Local Food Vendor Application
The Ocrafolk Festival has very few spaces open to food vendors who are not non-profits. Applicants will be selected to reflect variety in regards to the overall food presentation of the festival, including the non-profit food sellers. For profit food sellers must meet the following criteria:

Application deadline April 1. We have limited space for booths. The deadline for your application is April 1. We will contact you by April 10 with a final decision.

1. Food vendors must be Ocracoke based businesses (if you are a non-profit selling food, please apply on the non-profit page).

2. Food must be prepared off site at a location licensed for such purposes by the Hyde County Health Department, or receive a special license from the Hyde County Health Department to prepare food on festival grounds. The festival is generally unable to provide electricity to any vendors and generators are not allowed on festival grounds (making onsite food preparation licensing almost impossible). If you have any questions please contact Hugh Watson, Hyde County Health Department.hwatson@hydehealth.com 252-926-4380.

3. Food vendors must pay a fee of $100 plus 6% of their sales. (Nonprofit food sellers are exempt from these fees).

4. Due to space limitations and varying non-proft participation, the Ocrafolk Festival may be unable to fit all food vendors at the Ocrafolk Festival every year. Consideration will be given to those businesses unable to participate in previous years in addition to other factors.

5. Although the festival occasionally schedules a food vendor on Sunday of the festival, in general all food vendors are on Saturday of the event.

6. Space Size & Table Rental Fee: A single space is approximately 10’x10’. You must furnish your own tables and chairs unless you choose to rent them from the festival. Rental fee is $15 for a banquet table and 2 chairs.

7. Taxes: Vendors are obligated to collect NC sales tax on all sales, and will be responsible individually for paying the sales tax to the state.
